Terms of service
Last updated on 9 September 2026
These terms govern your use of the Meditrac website and the Meditrac practice management platform at app.meditrac.co.za. By creating an account, starting a trial or using Meditrac, you agree to these terms.
If you are using Meditrac on behalf of a practice, you confirm that you have authority to bind that practice to these terms.
The service
Meditrac is a software platform that helps healthcare practices manage appointments, patient records, clinical notes, prescriptions, staff access and related practice administration. Features may change as we improve the product.
Meditrac is a tool for your practice. It does not provide medical advice, diagnosis or treatment, and it does not replace your professional, clinical or legal responsibilities.
Accounts and access
You must provide accurate information when you set up a practice profile and invite your team. You are responsible for activity under your account, for keeping login details confidential, and for choosing appropriate roles and permissions for staff.
Additional seats may be added for extra practitioners at the published seat price. You must not share a single login between people who should have separate seats.
Trial and payment
New practices may start with a 14-day free trial with full Professional access. After the trial, continued use requires a paid Professional subscription at R899 per month. Additional seats are R249 per seat per month.
Fees are billed in South African Rand. If a payment fails or a subscription lapses, we may suspend access until the account is brought up to date. You can cancel future billing through your account; amounts already paid for a billing period are not refunded unless we are required to do so by law.
Practice and patient data
Your practice owns the patient and clinical information you enter into Meditrac. You are responsible for having a lawful basis to collect and store that information, for obtaining any required consents, and for using Meditrac in line with POPIA, professional rules and healthcare record-keeping requirements.
We process that information to provide the platform, as described in our Privacy Policy and POPIA pages. You must not use Meditrac to store information you are not allowed to hold, or to access another practice’s data.
Acceptable use
You agree not to:
- Use Meditrac for any unlawful purpose, or in a way that harms patients, other users or the service.
- Attempt to gain unauthorised access to the platform, other accounts, or systems connected to Meditrac.
- Copy, resell, reverse engineer or misuse the software except as allowed by law.
- Upload malicious code or content that infringes someone else’s rights.
Availability and support
We aim to keep Meditrac available and secure, but we do not guarantee uninterrupted or error-free operation. Planned maintenance, internet issues or events beyond our reasonable control may affect access. Where we can, we will restore the service as soon as reasonably possible.
Intellectual property
Meditrac, including its software, design, branding and content, remains our property or that of our licensors. You receive a limited, non-exclusive right to use the platform for your practice while your account is in good standing. You retain rights in the content and records your practice adds to the service.
Liability
Meditrac is provided as a practice management tool. We are not liable for clinical decisions, missed appointments, or loss arising from how your practice uses the platform, except where we cannot exclude liability by law.
To the fullest extent permitted by law, our total liability arising out of these terms is limited to the fees you paid us for Meditrac in the three months before the claim.
Suspension and termination
You may stop using Meditrac at any time. We may suspend or end access if you breach these terms, fail to pay, or if we need to do so to protect the service, other users or patient information. After termination, we may delete or return practice data in line with our privacy practices and any legal retention duties.
Changes
We may update these terms as the product and the law change. The date at the top of this page will be revised when we do. If you continue to use Meditrac after an update, you accept the new terms.
Governing law
These terms are governed by the laws of the Republic of South Africa. Any dispute will be subject to the jurisdiction of the South African courts, without limiting any rights you have under consumer protection law.
